Japan Royal Service plans and operates private multi-week itineraries for families of this size — accommodation, chauffeured transport, guiding, dining and private access arranged together under one coordinator and one contract. A party of eight sits in the hardest bracket in Japan: above what small ryokan and counter restaurants comfortably hold, below the size a group operator is built for. We plan from that constraint outward rather than fitting a family into a group template.

Six to twelve months for most of the year, and longer for cherry blossom and autumn foliage seasons, when the ryokan and restaurants that shape an itinerary book earliest. The constrained elements set the deadline — a room configuration for eight or a counter that can seat your party will close long before flights or vehicles do. Shorter lead times can be worked with, but the itinerary is built around what remains available.

Often, but not always at the property you had in mind. Many of Japan's finest ryokan hold only a small number of rooms, so a party of eight can represent a significant share of the house on a given night, and adjacent or connecting rooms cannot be assumed. We confirm the configuration rather than the room count, and where a property genuinely cannot accommodate the party we say so at proposal stage and offer alternatives — including a full-property buyout where the property permits one.

At a counter of eight to twelve seats, a party of eight may mean taking the restaurant entirely, using a private room where one exists, or splitting across two seatings. Some houses do not accept large parties at all. These decisions are made early and the route is shaped around the tables that matter most to you, rather than reservations being attempted once the itinerary is fixed.

By private chauffeured vehicle, by rail, or a combination, depending on the leg. Eight guests with two weeks of luggage are not comfortable in a single vehicle, so we run a passenger vehicle with a separate luggage car, or two vehicles with consistent chauffeurs across the journey. On rail legs, luggage is forwarded so the party travels unencumbered and cases are waiting at the next room. Where road and rail are both slow, a private helicopter charter can replace the leg entirely.

Yes, and most multi-generational parties do. Grandparents, adults and children rarely want the same day at the same pace. A second vehicle and a second guide allow the party to divide after breakfast and reconvene for dinner without anyone rebuilding the plan, and the coordinator holds both halves of the day.
