Three shapes, one set of problems

A wedding, a seventieth birthday and a fortieth anniversary look different on the invitation and almost identical on the ground. In each case the difficulty is not the evening — it is the twenty to sixty people arriving from several countries to reach it.

The celebration

Everything around the vows — the venue, the party, the nights before and after, and the guests who flew to be there. Rehearsal dinners, welcome evenings and farewell breakfasts included.

02 · Milestones

Significant birthdays

A sixtieth, a seventieth, a coming of age. Often multi-generational, often with guests whose pace and tolerance for travel differ sharply — which changes the itinerary more than the party.

03 · Anniversaries

Returning, or beginning

Sometimes intimate, sometimes a full party. Frequently a return to a place that already means something, which makes the venue the first decision rather than the last.

Venue types, by the size of the party

In Japan the number decides the venue, not the reverse. Availability, terms and lead times vary sharply by property, and some of the finest houses do not host events at all.

Full ryokan buyout

The whole house taken for a night — the meal, the baths and the garden closed to everyone but your party. The most intimate option available, and the one that most often sells itself. Buyouts are quoted individually and need long lead times.

10–40

Restaurant & venue buyouts

A restaurant closed to other guests for an evening, or a private house or historic venue held for the night. The answer when the dining is the centre of the celebration.

30–100

Hotel banquet & private rooms

Above roughly thirty guests, a hotel is usually the practical answer — proper banquet capacity, rooms for the party under one roof, and no transfer between the celebration and bed.

10–30

Machiya & historic properties

Kyoto townhouses and historic buildings — atmospheric, characterful, and tightly limited on capacity. Beautiful for the right party, impossible for a large one.

The guests are the hard part

The celebration itself lasts an evening. The guests arrive across four days, from three continents, into two airports, with varying tolerance for jet lag, stairs and long dinners. Holding that together is the service.

We build a rooming list and hold it across properties where one house cannot take everyone. We meet each arrival, whatever the hour. We move luggage ahead so nobody carries anything. We keep a schedule that absorbs a delayed flight without anyone rebuilding the day. And one named coordinator holds all of it, reachable throughout on WhatsApp or LINE.

Where the party splits — the older guests to a garden, the younger to a bar — a second vehicle and a second guide make that possible without anyone losing the thread.

    What you are marking, roughly how many are coming, and the window you are working within. If the dates are fixed and the season is peak, we tell you at this stage rather than later.

    The constrained bookings are secured before anything else, because they decide what the rest of the itinerary can be. Everything flexible follows them.

    Arrival cities and dates, rooming, transfers and dietary requirements assembled into one document that we hold and maintain — not a spreadsheet you chase.

Celebrations in Japan — questions, answered

Can Japan Royal Service arrange a wedding in Japan?+

We arrange everything around the ceremony — the venue, the accommodation, the transport, the dining and all the guest logistics — for weddings held in Japan. We do not officiate or run the ceremony itself, though we can help you identify officiants and venues while you are still deciding. Most of our clients marry legally in their home country and hold the celebration here, and that is the arrangement this service is built around.

How far ahead should a celebration in Japan be arranged?+

Twelve months or more for cherry blossom and autumn foliage dates, and six to twelve months outside those windows. The venue and the rooms set the deadline rather than the invitations — a full-property buyout or a configuration that houses thirty guests will close long before anything else does. Shorter timelines can be worked with, but the celebration is then built around what remains available.

Can you close an entire ryokan or restaurant for our party?+

Where the property permits it, yes. A full ryokan buyout gives a party of roughly eight to twenty the whole house for a night — the meal, the baths and the garden closed to everyone else. Restaurants can be taken for an evening on similar terms. Availability, conditions and lead times vary sharply between properties, and some decline buyouts entirely, so these are quoted individually rather than offered as a standard product.

How many guests can you accommodate?+

From an intimate party of eight to around a hundred. The number decides the venue type: a full ryokan buyout suits roughly eight to twenty, a restaurant or private-house buyout ten to forty, and above about thirty a hotel with proper banquet capacity is usually the practical answer. We plan from the number outward rather than fitting a party into a fixed format.

Do you handle guests arriving from different countries?+

Yes, and it is the substance of the work. We build and maintain the rooming list, meet every arrival regardless of hour or airport, arrange chauffeured transfers across the whole party, move luggage between properties, and hold a schedule that absorbs a delayed flight without anyone rebuilding the day. One named coordinator holds all of it from confirmation to the final departure.

Can you advise on marrying legally in Japan?+

No — legal marriage, registration and residency questions sit outside what a travel concierge should answer, and getting them wrong carries real consequences. Those questions belong with your embassy or a qualified adviser. What we arrange is the celebration itself and everything surrounding it.

What does a celebration in Japan cost?+

Quoted per event. Party size, venue type, accommodation category, the number of days and any buyouts move the figure substantially, so we do not publish rates. A proposal follows your enquiry with the elements itemised, and the price you confirm is the price you pay.
